We are seeking a Workforce Planning Manager to take a lead role in rostering, forecasting staffing needs, driving data‑led workforce decisions, and supporting service managers across our community, day, and housing services.

This is a key post that ensures continuity of care, compliance, and operational excellence.

🔍 Why this role matters

As Workforce Planning Manager, you will:

  • Oversee rota management across multiple services to ensure safe staffing levels. 
  • Lead forecasting and cover planning for annual leave, sickness, training, and other absences.
  • Analyse workforce trends and produce high‑quality reports that support strategic decision‑making. 
  • Champion effective use of People Planner and support managers in adopting workforce planning best practice.
  • Play a vital role in compliance with RQIA/HQIA and Working Time Regulations. 

This is a fantastic opportunity to shape workforce strategy, support organisational improvement, and positively impact the delivery of essential care services.

🧩 Key Responsibilities

  • Manage and optimise rota planning using People Planner.
  • Support managers across all service types with effective staffing coordination.
  • Maintain real‑time accuracy of staffing data, including availability, overtime, and on‑call arrangements.
  • Provide workforce insights, forecasting, and reports for senior stakeholders.
  • Influence and support continuous improvement in workforce systems and processes.
  • Ensure compliance with regulatory and organisational standards.
  • Contribute to future workforce modelling and service development initiatives.

🎯 What We’re Looking For

Essential Experience & Qualifications

  • A 3rd‑level qualification with 2+ years’ workforce planning and rota coordination experience, or
  • 3+ years’ experience in workforce planning across multiple sites. 
  • Proficiency in rota management systems (People Planner desirable).
  • Strong data analysis and workforce reporting skills. 
  • Ability to work under pressure and deliver to tight deadlines. 

Required Circumstances

  • Full driving licence and access to a vehicle (reasonable adjustments considered). 
  • Flexibility to work outside core hours where needed.
