Front of House Representative

The Vacancy

Location: Lombard House, Belfast
Contract: Permanent
Hours: 30 hours per week (Flexibility to work extra hours when required)

This is an office-based, part-time role requiring attendance five days per week. The position operates on a rotating shift pattern, with working hours alternating weekly between 8-2 and 12-6. 

There will be a requirement to work in excess of 30 hours up to a maximum of 37 hours to cover periods of leave. 

Role Purpose

The Front of House representative is responsible for providing an excellent first contact customer experience and to provide administrative support within the Inspire Wellbeing Group.

Key Responsibilities (Summary)

  • Act as the first point of contact for visitors at Lombard House
  • Provide an efficient switchboard service, dealing with information enquiries in a sympathetic manner and ensure they are passed on to the appropriate staff or department
  • Provide and ensure an accurate and rapid messaging service; e-mailing details of calls and flagging reminders.
  • Provide routine clerical duties including faxing, photocopying, filing and shredding as and when required.
  • Communicate with external suppliers, ensuring that collections and deliveries are dealt with   quickly and efficiently.
  • Support, and work with the Inspire Wellbeing Group on daily business matters contributing to the smooth running of the business, ensuring clear communication of relevant business information at all times.
  • Assist the Property Manager in ensuring Lombard house meets and maintains Health and Safety requirements as directed. This will include fire bell testing and assisting with the evacuation of Lombard House in the event of an emergency

What We’re Looking For

  • Someone who is Flexible and Adaptable
  • Someone with at least 1 years experience in a customer service role
  • Someone who has excellent communication skills.
  • Someone who is experienced is using MS Office.
